Overview
You can use your company email (e.g., name@yourdomain.com) inside Gmail to send and receive messages — just like a normal Gmail account.
This is done by connecting your company email using POP3 and SMTP settings.
🧭 A. Add Your Company Email to Gmail
Step 1: Open Gmail Settings
- Log in to your Gmail account on a computer.
- Click the ⚙️ gear icon → See all settings.
- Go to the Accounts and Import tab.
Step 2: Import Mail Using POP3
- Under “Check mail from other accounts”, click Add a mail account.
- Enter your company email address (e.g., you@yourdomain.com) → click Next.
- Select Import emails from my other account (POP3) → click Next.
Step 3: Enter POP Server Details
| Field | Setting |
|---|---|
| Username | your full email address (e.g., you@yourdomain.com) |
| Password | your email password |
| POP Server | mail.yourdomain.com |
| Port | 995 |
| Always use a secure connection (SSL) | ✅ (checked) |
✅ Optional settings:
- Leave a copy of retrieved messages on the server → Check this if you access mail elsewhere (e.g., Outlook)
- Label incoming messages → Helps you identify company mail in your Gmail inbox.
Click Add Account.
Step 4: Enable Sending from Gmail (SMTP)
Gmail will ask if you want to send emails using your company address — click Yes.
Enter the following details:
| Field | Setting |
|---|---|
| SMTP Server | mail.yourdomain.com |
| Port | 465 or 587 |
| Username | your full email address |
| Password | your email password |
| Use SSL/TLS | ✅ Yes |
Click Add Account.
Step 5: Verify the Setup
- Gmail will send a verification email to your company address.
- Open it (either via webmail or Outlook) → click the verification link or enter the code in Gmail.
Once verified, you can now send and receive company emails directly from your Gmail inbox. 🎉
💡 B. Using Your Company Email in Gmail
After setup:
- When composing a new message, click the “From” field and select your company address.
- Replies to that address will appear in your Gmail inbox.
🧩 C. Troubleshooting Tips
- Ensure your username and password are entered correctly.
- If connection fails, confirm the server names and ports with your email hosting provider.
- Check if your hosting server supports POP and SMTP.
- Make sure “Allow less secure apps” (for older Gmail setups) is enabled if required by your server.
